Executive Assistant for Enrollment Management

Position Overview:
  • Maintain a calendar of appointments and project schedules for the VP
  • Answer phones and greet visitors
  • Open, sort, screen and distribute office mail
  • Order and maintain office supplies
  • Maintain an organized tickler filing system •
  • Maintain “master copy” files
  • Maintain office equipment
  • Meet with the VP on a regular basis to discuss daily operations
  • Serve as secretary for all departmental staff meetings
  • Prepare and process birthday cards for employees
  • Coordinate electronic communications between VP and parents
  • Proofread letters, brochures, and other written materials as requested
  • Prepare work requests, payment vouchers, Mail Room and Copy Center requests
  • Coordinate special projects and events, office activities, and committee meetings
  • Assist in composing, designing and editing department communication documents
  • Make travel and accommodation arrangements
  • Maintain financial record keeping, monitoring budgets, preparing financial transactions, balance petty cash fund, generate purchase order requests
  • Direct and coordinate needs of departmental staff and personnel development
  • Direct and coordinate the office staff and switchboard operator to ensure adequate coverage
  • Coordinate the departments direct reports and oversee all aspects of office operation
Primary Responsibilities:
  • Act as liaison between the Vice President and his areas of responsibility and/or external customers  Represent the Vice President at meetings, as requested, when he is unable to attend.
Qualifications:
  • Associate or Bachelor degree in office procedures preferred
  • Minimum 5 years experience in an educational administrative field or comparable experience
  • Demonstrated experience in professional, multitask environment
  • Experience in non-profit, educational environment helpful
