Position Overview: Reports to: Academic Dean
Position status: Support Raising or Grant Funded
Start Date: August 1, 2008
Primary Responsibilities:
  • Provides leadership and oversight for the development, implementation, and management of activities and systems related to academic records and student registration.
  • Develops and implements academic policies regarding student records.
  • Manages the student record database, distributes all formal academic information and records, and ensures the security and integrity of academic records.
  • With the Academic Dean certifies candidate eligibility for graduation and provides degree audits to advisors and students.
  • Provides institutional research for institutional, federal, and accrediting reports.
  • Works closely with administration, faculty, staff, and students; serves on key committees.
Qualifications:

ESSENTIAL DUTIES:

  • Prepare semester schedules in consultation with Academic Dean; schedule room assignments
  • Work with the Information Technology Department to ensure database usability. Work with the Information Technology to resolve problems and streamline processes
  • Supervise pre-registration, drop/add, declaration of pass/fail and audit, and maintenance of all registration programs in cooperation with admissions and business office
  • Supervise maintenance and accuracy of all students records including posting majors, minors, advisors, intended graduation dates, etc.
  • Supervise mid-term and end-of-term grade processing
  • Supervise process to readmit students to the College
  • Within legal limitations and college policy, make records available and accessible to students, faculty, advisors and other authorized college personnel
  • Certify students for graduation, honors, class standing; supervise other commencement responsibilities
  • Supervise archiving of records
  • Evaluate transcripts of students applying for admission with advanced standing (transfer students)
  • Approve and process requests for diplomas received after the graduation date (when student bills are paid)
  • Supervise process to readmit students to the College
  • ACADEMIC POLICIES AND COMMITTEE WORK:
  • Possess mastery of all academic policies in order to consistently and fairly administer same
  • Understand and enforce FERPA regulations within college community
  • Correct, revise and update the College Catalog to reflect curriculum and policy changes
  • Confer as requested on revision of publications and brochures
  • Serve with Academic Dean on Curriculum Development Committee
  • Attend all Faculty and Staff Development Meetings Serve on Retention Committee

ADVISING:

  • Monitor degree status of students and notify them and their academic advisors of progress toward graduation
  • Advise students, faculty, and parents on academic policies/issues as requested
  • Certify students for graduation, honors, class standing; supervise other commencement responsibilities

OTHER DUTIES:

  • Generate reports and statistical data as requested by the Academic Dean for internal and external entities
  • Supervise the administration of the Student Faculty Evaluation process each semester
  • Serve as a mentor to one or more students and lead students into a deeper relationship with Jesus Christ through whole-life discipleship

POSITION QUALIFICATIONS AND REQUIREMENTS:

  • Proficiency with Word, Excel, and Access
  • Excellent interpersonal, written and oral communication skills
  • Attention to detail
  • Minimum of a Bachelor’s degree
